How a Microsoft 365 License Audit Paid for a Server Replacement

July 18, 2026 · 5 min read

Microsoft licensing drifts. People leave, projects end, trials convert silently, and the invoice keeps climbing while nobody owns the review.

Our audit starts with a sign-in activity export cross-referenced against payroll. Any account with no interactive sign-in for 45 days gets flagged for conversion to a shared mailbox or removal.

Then we compare assigned SKUs against actual feature use. Premium plans bought for a single feature usually have a cheaper add-on path, and unused add-ons are pure waste.

For this client the audit removed 41 seats and consolidated two overlapping SKUs — enough recurring savings to fund a new hypervisor host inside the same fiscal year.
